How to Register

Fees

State Conventions will now use the Stay to Save program. Clubs that reserve their hotel accommodations through National Beta’s official housing partner, Orchid, will receive the discounted $30 registration rate. Clubs not booking through Orchid will pay a $45 registration fee.  

To receive the $30 Stay to Save registration rate, clubs will: 

• Reserve hotel accommodations through National Beta’s official housing partner, Orchid, before registering for State Convention. 
• Enter their Master Acknowledgement Number and Confirmation Number received during registration. This number will be sent directly to your email following booking from info@cvent.com 
• As a friendly reminder, a credit card will be required to make a hotel reservation through Orchid. No fees or deposits are required when booking, however, the card will be used to enforce cancellations. All alternative payment options will be available on the Orchid booking site.  

Additional details: 

• Hotel cancellations will incur a $10 per room cancellation fee until a state-specific deadline. After that date, the cancellation fee will increase to $99 per room. This will allow clubs to cancel any unused rooms at a nominal fee while still allowing other clubs who still want to be at the onsite hotel the opportunity to book at the group rate.

EXCEPTION: If registered by the deadline date of the convention, you will receive one free sponsor with 5 students and two free sponsors with 10 students. 

Late registrations may be completed onsite at the convention. The late registration fee for members is $45.00, while sponsors, guests, chaperones may register late for $10. 

To make membership additions or changes, please contact membership@betaclub.org at least two weeks prior to the convention registration deadline.

Deadlines

Please note that the cut off time for state registration and the online testing/ submission window is 5:00 PM EST. This is to ensure that all customer service inquiries regarding convention registration are managed during Beta’s National Office hours of 8:00 AM - 5:00 PM EST.

Step 1

• Go to Events Page
• Click on Conventions
• Click on the state tab and click register
• Enter log-in and password

Step 2

• Click on all students and sponsors attending
• Enter names of all chaperones and guests attending
• Enter correct phone number and email in case of emergency
• Indicate sponsors or chaperones willing to judge
• Provide contact information for any volunteers

If participating at the onsite convention in anyway, sponsors, chaperones and guests must be registered.

Step 3

• Click on the competitions to register your students
• Many competitions require names for verification purposes
• Finalize registration by clicking submit
• Any changes to registration can be made in-person at the convention.
• Competitors may be substituted at the convention

Step 4

Payment made by:

• Credit Card: include school name, club ID and invoice #
• School Check: include school name, club ID and invoice #
• School Authorized PO: include school name, club ID and invoice #

Refund Policy

There will be no refund of registration fees for any reason unless the entire convention is canceled by National Beta.
